Privacy and Terms of Use

Which personal data is processed for which purpose, with whom it is shared, how long it is stored, rights and platform terms of use.

Last updated: September 29, 2026

This text explains how your personal data is processed when using the Smart Agriculture Network platform and the terms of use of the platform. It has been prepared as an information text within the scope of Law No. 6698 on the Protection of Personal Data (KVKK) and the European Union General Data Protection Regulation (GDPR). By registering on the platform, you accept the terms of use.

1. Data Controller

The data controller for the personal data processed on the platform is Kozan Chamber of Commerce (KOZTO): Cumhuriyet Mah. Emniyet Sk. No:4, Kozan / Adana 01510, Turkey · +90 322 515 84 66 · kozanto@tobb.org.tr.

Larissa Chamber of Commerce and Industry (LACCO, Επιμελητήριο Λάρισας, Παπακυριαζή 44, 41222 Λάρισα · info@larcci.gr) is the co-executor of the project and organizes the Digital Trade Fair. Members in Greece can also direct their questions to this address.

2. What data do we process?

  • Account information: first name, last name, username, city, email address, password (stored as an irreversible hash), consent confirmation, and registration date.
  • Profile information: profile picture, cover image, title, institution, about section, interests, links, and profile visibility preference.
  • User group: your participant type (such as farmer, agricultural enterprise, SME, agricultural expert) and chamber membership (KOZTO, LACCO). Filling these in is optional; if you do, they are shown on your profile and in the member directory, and members and organisers can search by them.
  • Optional demographic information: gender, age range, province/region, sector (section 5).
  • Business profile: company, logo, promotional images, brochure or catalogue, sector, country, city, size, languages spoken, products and services, topics you offer and seek, your expectations for cooperation.
  • Content and interactions you share: posts, photos, comments, likes, discussions, group memberships, event participations, survey responses, and private messages.
  • B2B and fair data: event participation, meeting requests, responses and times, evaluations, booth and product information, buyer registration, questions and votes you send during live sessions.
  • Preferences and technical data: interface language, notification preferences, push notification subscription, connected application permissions, and visit statistics (section 4). The server keeps connection logs (including IP address) to prevent attacks and misuse; these logs are not used in visit statistics.

The platform uses only the cookies necessary for its operation: login cookies that keep your session active and language cookies that remember your chosen interface language. No advertising or tracking cookies are used.

3. Purposes and legal grounds

  • Membership and platform services (application approval, profile, posting, groups, messaging, notifications, B2B meetings, fair, single sign-on to academy): establishment and performance of the membership relationship (KVKK art. 5/2-c; GDPR art. 6/1-b).
  • Security, visit statistics, and project reporting: legitimate interest (KVKK art. 5/2-f; GDPR art. 6/1-f).
  • Optional demographic information and push notifications: your explicit consent (KVKK art. 5/1; GDPR art. 6/1-a). You can withdraw your consent at any time.
  • Announcements: the platform management may send members announcements as in-app notifications, push notifications and e-mails; you can turn them off under Settings → Notifications (KVKK art. 5/2-c and f; GDPR art. 6/1-b and f).
  • Translation upon request: provision of the requested service (KVKK art. 5/2-c and f; GDPR art. 6/1-b and f).
  • Legal obligations: fulfillment of legal obligations (KVKK art. 5/2-ç; GDPR art. 6/1-c).

The B2B matching score is a recommendation automatically calculated based on the information in business profiles; it does not result in any legal or similar significant consequences for you. Your data will not be used for advertising purposes and will not be sold.

4. Analysis and visit statistics information

The platform keeps visit statistics to understand popular pages and events and for project reporting. Measurement is done on the platform's own server; no external analysis service is used.

  • No cookies are used. No cookies or other identifiers are written to your browser for measurement.
  • IP address is not stored. Unique visitors are counted using a one-way hash (SHA-256) of your IP address, browser information, and a secret value that changes daily. The secret value is renewed daily and the old one is not kept; therefore, it is impossible to revert from the hash to the IP address, and visits on different days cannot be linked.
  • Country is determined only at the country level (country information provided by Cloudflare or local country database on the server); city or location is not stored.
  • Information collected: visited page path, referring site name, device type, browser family, operating system family, interface language, time spent on page; if logged in, your member ID.
  • Bots are not counted. Search engine crawlers and automated tools are not included in the measurement.
  • Storage: raw measurement logs are deleted after 90 days. Daily aggregated summaries are kept permanently for project reporting; these summaries do not reveal individual persons.

5. Optional demographic information

Fields for gender, age range, province/region and sector are entirely optional; each has a "Prefer not to say" option, and leaving them blank does not restrict any features.

  • This information is not visible on your profile; it is not shared with other members, booth owners, or matching lists.
  • It is used only as aggregate numbers in project reports and on the organizers' analytics dashboard. Groups of fewer than five people are hidden; thus, individuals cannot be identified.
  • You can change this information or set it to "Prefer not to say" at any time in the Settings → Profile → Demographic Information section. This information will not be used in subsequent reports.

6. B2B and fair data

  • Your business profile (company name, logo, promotional images, brochure, products and cooperation request) is shown on your profile page and in the matching and participant lists in the B2B section; on your profile page its visibility follows your profile visibility setting. If you turn off the “Show in B2B directory and matching suggestions” option, it is not included in suggestions or on your profile page.
  • Meeting requests, messages, and times are visible only to both parties and the organizer. The video call link is also shown only to them; the meeting is not recorded on the platform.
  • Only the organizer sees the note you write in the meeting evaluation. Scores and results are entered collectively into reports.
  • Organizer reports (participation, acceptance rate, cross-border meeting rate, satisfaction) are exported for project reporting and may include participant company names.
  • Booths are public once they go live; contact information is shown only to members. Booth statistics consist only of numbers.
  • The organizer reviews the buyer registration; if approved, your “Approved buyer” badge becomes visible to other members.

7. Third parties and international transfer

  • Hosting: The platform and database are hosted on a server in Germany (Hetzner).
  • Network and security: Traffic to the platform passes through the Cloudflare network for speed and security.
  • Email: Application, confirmation, password reset, and reminder emails are sent via Google Workspace.
  • Translation: when “Show translation” is requested for content written in another language, only the text to be translated is passed to a translation service provider acting as a data processor; your name, e-mail address and account details are not passed on. Private messages are translated only when the reader asks for it.
  • Video calls: Automatic links are created with the Jitsi Meet (8x8) service; when you join a call, your connection data is transmitted to this service. If one of the parties adds their own Zoom or Meet link, the terms of that service apply.
  • Fonts, embedded videos, push notifications: Fonts are loaded from Google Fonts, YouTube and Vimeo videos in booths are played embedded, and push notifications are delivered via the browser's notification service. In these cases, your browser connects to the respective provider.

Some of these providers process data outside of Turkey and the European Economic Area. Transfers are made only to the extent necessary for the provision of the relevant service, in accordance with Article 9 of KVKK and the transfer rules of GDPR. In case of legal obligation, sharing with authorized authorities may occur.

8. Retention periods

  • Account, profile, and business profile: As long as your account is active; it is deleted upon your request for deletion. Records that must be legally retained are kept for the relevant period.
  • Posts, comments, and messages: Until you delete them or your account is deleted. Generated translations are stored along with the original content.
  • B2B and exhibition registrations: During the project and for the period required for project reporting and auditing.
  • Raw measurement records: 90 days; daily aggregated summaries are permanent.
  • Push notification subscription: Until you turn off notifications or the browser terminates the subscription.
  • Security logs: For the short period required by the security purpose.

9. Rights and recourse

Pursuant to Article 11 of KVKK and Articles 15-22 of GDPR, you have the following rights:

  • to learn whether your data is being processed and access it, to learn the purpose of processing and the third parties to whom it is transferred,
  • to request correction, deletion under the conditions, and notification of these to transferred persons,
  • to request restriction of processing, to receive your data in a portable format, and to object to processing,
  • to object to decisions based solely on automated processing that produce legal effects concerning you or similarly significantly affect you,
  • to request compensation for damages incurred due to unlawful processing,
  • to withdraw your consent at any time for processing based on consent.

Application: Send your requests from the email address registered on the platform, specifying your username, to kozanto@tobb.org.tr or in writing to KOZTO's address. Members in Greece can also use info@larcci.gr. Applications will be answered within 30 days at the latest. You can also request the deletion of your account in the same way. If you are not satisfied with the response, you can file a complaint with the Personal Data Protection Authority (Kişisel Verileri Koruma Kurulu) in Turkey or the Personal Data Protection Authority (Αρχή Προστασίας Δεδομένων Προσωπικού Χαρακτήρα) in Greece.
